We’re seeking a proactive and detail-oriented Listings & Transaction Coordinator to manage the full lifecycle of real estate listings and transactions—from pre-listing to post-closing.

Compensation:

$50,000 - $60,000 annually

Responsibilities:
  • Support sales agents, clients, and other parties with escrow-related paperwork, such as appraisals, titles, and mortgage loans
  • Schedule home inspections and any necessary repairs, and assist in negotiations regarding repairs
  • Obtain seller’s approval for the buyer’s offers and counteroffers to ensure the transaction process goes as quickly as possible
  • Save customer information in the CRM system, forward all necessary paperwork to the office broker for file compliance, and track transaction activities
  • Look over all paperwork to confirm they have the correct signatures and dates, assuring that the closing process has been done accurately and efficiently
  • Coordinate all pre-listing activities, including scheduling photography, staging, inspections, and repairs
  • Prepare and maintain accurate MLS listings with up-to-date data and property descriptions
  • Launch and manage marketing efforts, including signage, open houses, email campaigns, and broker tours
  • Open and maintain transaction files, draft disclosure,s and CAR forms, and manage all associated documentation
  • Communicate with title, escrow, lenders, inspectors, vendors, and clients throughout each transaction
  • Track deadlines and ensure contract compliance across all active files
  • Provide regular status updates to clients and agents, flag issues proactively, and resolve problems quickly
  • Schedule walkthroughs, confirm funding timelines, and ensure smooth closings with complete documentation
Qualifications:
  • Must have excellent organizational skills and communication skills
  • High school or equivalent required, some college experience preferred
  • Motivated to serve people and provide excellent customer service
  • Experience in the real estate industry, transaction management or coordination, titles, and/or mortgages preferred
  • Already a licensed realtor or is pursuing real estate license
  • 2+ years of experience in the real estate industry preferred
  • Strong knowledge of CAR forms, MLS protocols, and escrow/title workflows
  • Proficiency with MLS platforms, e-signature tools, and CRMs
  • Exceptional verbal and written communication skills
  • Masterful organization and deadline management
  • Positive, team-oriented attitude with a client-first mindset
